Position Summary

Branch Builds is searching for an energetic, details-oriented Field Office Assistant to join our team. The Field Office Assistant is a resource for the Site Management Team and is an extension and part of the Project and Field Management teams.  The ideal candidate is candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a construction environment.


  • Preparing job correspondence, RFPs, RFIs, and job reports
  • Preparing and managing construction subcontracts
  • Managing subcontract COI’s and related supporting documents
  • Review subcontractor billings and coding all invoices
  • Prepare permits and applications
  • Manage and updating job procedure binders
  • General office and administrative support
  • Responsible for company data management and record keeping systems, electronic and paper
  • Represent the company while interacting with visitors, consultants, contractors, professional service providers, business partners, and public employees and officials
  • Work closely with confidential and proprietary information on a regular basis and must be able to exercise discretion and maintain confidentiality
  • Assist the Project Management and Field Operations Teams in opening and closing job site offices and job sites

Duties/Responsibilities Cont.

  • Review Crew Daily Reports for accuracy
  • Transmit expense and per diem reports to the payroll department
  • Issue field purchase orders as required and route for approval
  • Contacts vendors in the event invoices do not agree with tickets or purchase order pricing
  • Submits required project specific safety items to safety department
  • Responsible for maintaining the field office location in which assigned, including reception, answering phones, and ordering supplies for office and field employees
  • Act as a liaison between field employees and field office support services
  • Assist with the hiring process and subsequent onboarding of new employees
  • Ensure hiring packets are completed as required and timely submission of same to the corporate office
  • Maintain employee certification lists, training lists, per diem lists, and other lists as determined by the Operational Team’s needs
  • Participate in the planning and coordination of company events
  • Prepare reports, communications, meeting minutes.


  • High School degree required, Associate’s degree in Business preferred
  • 2 or more years of relevant experience, preferably in the construction industry
  • Professional and courteous demeanor with commitment to excellence in customer service
  • Ability to use discretion and maintain confidentiality with proprietary and other information
  • Detail oriented with exceptional analytical and organizational skills
  • Handles multiple tasks and projects at once and meets deadlines
  • Excellent communication skills, both verbal and written
  • Proficient in Microsoft office products (Excel, Word and Power Point
  • Strong initiative, ownership, and teamwork skills
  • Ability to perform in a fast-paced, high volume environment
  • Ability to accomplish tasks with minimum supervision
  • Self-motivated, team-oriented, and able to adjust to work well with other professionals from various backgrounds
  • Knowledge of ProCore construction management software preferred, but not required

While performing the duties of this job, the employee is regularly required to use their hands and fingers to type on a keyboard and/or office phone and to sort through business files. They are frequently required to sit, stand, walk, talk, and hear. They must be able to lift up to 15lbs. Specific vision abilities include close vision, midrange vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Position Type/Expected Hours of Work

This is a full-time hourly position which will typically involve 40 hours a week, with occasional early starts or late quits as needed to meet critical deadlines.
